Behind the Scenes of Corporate Retreat Planning: How Experience Design Really Works


This project is a good example of how thoughtful corporate retreat planning goes beyond schedules and venues - and into flow, energy, and experience design.


Sometimes a client doesn’t ask for a traditional retreat planned end-to-end, a polished agenda, or a single headline moment. Instead, the request is more nuanced:


We need space to work.

We want people to connect.

We don’t want it to feel corporate, more community-driven.

And we don’t want it to feel rushed.

We have a plan… we just need help bringing it together.


This was one of those briefs.


The Brief Beneath the Brief when Planning Corporate Retreats


On the surface, a lot had already been done.


The client had secured three luxury private residences in Vancouver to host a global team flying in from around the world. Flights were booked. Airport transfers organised. Meeting content mapped across four days. What sat underneath, however, was a desire for rhythm.


They had strong ideas and pre-planned elements, but needed support stitching everything together seamlessly - particularly in a location they knew reasonably well, but not like a local.


This is where experience design - and effective corporate retreat planning - really begins.


The goal was clear: balance focus with fun, structure with spontaneity, and time together with time to decompress. That clarity gave us everything we needed to shape the experience around flow.


Designing the Framework (Before Choosing the Fun)


Before adding anything new, we looked closely at what already existed.


The first half of the program was anchored around the three private residences. Each could comfortably support working sessions and breakout spaces without ever feeling like a boardroom, a strong foundation.


From there, we focused on the practical realities of hosting full meeting days in private homes. A few key considerations shaped the design:


  • Meetings needed natural starts and finishes, not forced transitions

  • Social moments needed to feel earned, not like distractions

  • Fridges needed to function like hotel pantries; breakfast, lunch, snacks, coffee, and drinks ready to go

  • The group needed shared ownership over the space (yes, even the coffee pot)

  • Evenings needed to encourage participation without pressure


Once those elements were in place, the wider itinerary - moving between locations, activities, and downtime - could support the group rather than interrupt it.


Reimagining the “Corporate Dinner”

Instead of defaulting to restaurants each night or a single hosted dinner, we shifted the rhythm.


Two nights out. Two nights in.


For the two evenings at the residences, community became the focus. The group was split into teams for a light-hearted dinner challenge, guided by private chefs acting as facilitators rather than performers.


Teams collaborated on preparation, presentation, and service, with a playful competitive edge that ran across both nights.


What this created was subtle but powerful:


  • Shared responsibility instead of passive dining

  • Conversation through doing, not just sitting

  • A sense of community across the entire company

  • Chefs, sommeliers, and hosts who felt like collaborators, not entertainment


It didn’t feel like an “activity.” It felt like being part of something together.


The In-Between Moments Matter


After heavier meeting days, we intentionally shifted the energy.


Bike rides around Stanley Park and oyster-led happy hours at the residences created easy transitions out of work mode, social without being over-structured.


We find those unscheduled-feeling moments during a corporate retreat often hold the most value. They allow conversations to continue, relationships to deepen, and energy to reset without anyone needing to check the agenda.


The Adventure Day: Contrast, Not Compression


The reward for the hard work came next: heading up the Sea-to-Sky to Whistler. Our playground!


This day wasn’t about ticking off highlights. It was about contrast. The experience began away from the village, in the backcountry - a deliberate shift after days immersed in Vancouver. Side-by-side off-road experiences created shared adrenaline, followed by a relaxed lunch at a local favourite with a sun-soaked patio.


From there, the group eased into downtime. Scandinave Spa offered stillness and space to recharge, particularly valuable for those who find themselves needing 'quiet' after intense collaboration. A whisky tasting later in the afternoon gently transitioned the group back into social mode, without forcing the pace.


Different experiences. Same intention.

Seamless Doesn’t Mean Invisible


Behind the scenes, the experience required careful coordination across multiple locations.


Transfers needed to flow. Timing needed to flex. Weather, appetite, energy levels - all factored in. None of it was complicated for the sake of it, but all of it was considered.


When experience design works, guests don’t notice the logistics. They just feel the ease.


A Final Thought


Most briefs include something unconventional, and we love to hear it! Even if it’s not immediately obvious, often, the unconventional doesn't need louder ideas. They need better listening.


Experience design is about understanding pace, creating contrast, and allowing space for people to show up as themselves - while quietly ensuring everything works! Behind every seamless experience is a web of decisions, adjustments, and logistics that most people never see.


And that’s exactly the point.
